Your information, in plain language.
What this site and app collect, where it lives, who can see it, and how to have it deleted.
What's collected
- When you sign in: your name and email address from your Google account. Sign-in is handled by Google; this site never sees your password.
- When you apply: the answers you give on the application form (no account needed): your name and contact details, who's training and their age range, the services you're interested in, your goal, when you'd like to start, whether you've been coached before, how you heard about Southbound, and how and when you'd like to be contacted. Only the coach can read applications. If you later sign in to the app with the same email, your application is matched to your account so you aren't asked the same things again.
- Your client profile, if you fill it in: what your coach should call you, a phone number, birth year, how you train now (for example runs a week, longest run, soccer position and level, equipment you can use), your schedule, your goals, what you want from coaching, and any injuries or limits you choose to share. For a young athlete, the parent fills it in. Only the main goal is required.
- Emergency contact: a name, phone number and relationship, and for someone under 18 who signs up themselves, a parent or guardian's name and phone, if you add them. They're used only if something goes wrong at a session.
- A short health check: seven yes/no questions (for example about a heart condition, chest pain or dizziness) based on the standard pre-exercise questionnaire, plus an optional note. A "yes" doesn't stop you training; it tells your coach to check with you first, and suggests you check with your doctor. This is health information, so it's treated like your injuries: only you and your coach can see it, it's never used for anything else, and it's never shared with an AI tool.
- When you use the app: the training you log (runs, workouts, habits, nutrition, check-ins), your plans, and any session requests you make. On the Fueling page, the details you give about yourself (body weight, sweat rate and sweat sodium if you measured them, how much you usually take in, your gut tolerance and the products you like) and your unfinished fueling plans are saved to your own private data, so you don't have to enter them again; your coach doesn't see them. You can clear or reset them on the Fueling page under My Fueling Plans → Athlete Profile. The Fueling calculator also works without an account: then everything you enter stays in this browser on your device and is never sent to us. If you sign in later, the Fueling page asks whether to add it to your account; if you say no, or sign out first, it is removed from the device.
- When you ask a question: what you type into the Contact form (name, email and/or phone, topic, message, and an athlete's age if you share it). You don't need an account for this.
Where it's stored
If your coach gives you a practice video, it plays from YouTube only after you tap it, and YouTube (Google) may then collect usage data under its own policy; the practice you log goes to your coach. Account and training data are stored with Google Firebase. The app also keeps a copy on your own device so it works offline: your plan, workouts, check-ins and messages from your coach stay readable without a signal, and anything you log offline is saved on the phone and sent when you're back online. Signing out removes the copy of your account's coaching data from that device. If you connect a COROS watch, the sign-in connection stays on your device; the workouts it brings in (with their lap splits) are saved with the rest of your training. When you tap Send to COROS, the planned runs you chose (names, distances, paces and your coach's notes for them) go to your own COROS account so your watch can show them. If you're coached, your coach's next two weeks are sent this way automatically each time you open the app; you can turn that off in Settings. For your daily Readiness, the app also reads your sleep, heart-rate variability, resting heart rate, stress and recovery from your COROS account; those numbers and your morning check-in answers (including the habits you tick and how much water you drank) are kept in your own private data, and the habit comparisons on Analytics are worked out on your own device. Your coach doesn't see any of your watch data unless you turn on sharing for them in Settings, and you choose each part separately: Training activity (the dates, distance and time of your runs over the last 28 days), Performance (pace, heart rate, training load and COROS's fitness numbers such as VO₂max and race predictions) and Recovery & sleep (sleep, HRV, resting heart rate, stress and recovery). Your coach sees a short summary of the last 28 days for each part you turn on, never your COROS sign-in. A fourth switch, Athlete model, shares a longer history so your coach's tools can work out your training load, how you're responding to training, your readiness and your race fitness: each run of the last year (date, start time, distance, time, average and highest heart rate, climb, indoor or trail, how hard it felt, your fastest efforts inside it, and whether it was a race), the laps of the runs you did on your coach's structured workouts in the last six weeks (each lap's distance, time and average heart rate, so your coach can see each rep against the plan; you see the same rep-by-rep view on that workout's page), plus 120 days of sleep, HRV, resting heart rate, COROS's recovery and race numbers, and your morning check-in scores (soreness, energy and mood, and whether you said you felt sick or had pain; never what you wrote). It never includes your routes, run names or notes. Those calculations run only on your coach's side; they're your coach's working notes and aren't shown to you or anyone else. Turning a part off stops your coach seeing it straight away. You can disconnect COROS in Settings at any time. If you import your Strava archive on the Analytics page, your own phone or computer reads the file; only a short summary of each activity (date, type, distance, time, heart rate, climb, name and your fastest efforts) is saved to your private data, never your routes or GPS points, and you can remove it there at any time.
Who can see it
- You can see your own data.
- Your coach can see your account, application and client profile, the plans you share, your session requests and your weekly check-ins, so they can coach you. They can also update your client profile (for example, if you fill it in together), and you'll see anything they change.
- Your training plan. Plans your coach publishes to you are kept, with every earlier version, so you both have a record of what was planned. Your coach keeps the whole plan on their side; your app gets it this week and next at a time, unless your coach shares all of it. Your coach can see when you've opened an update and tapped "Got it", and which workouts you marked done.
- Workouts you log. When you log a workout from your coach's plan (distance and time for a run, or the weights and reps you lifted for a strength session, plus how hard it felt, anything that hurt, and your note), your coach sees it and can reply. You can edit or remove a log at any time.
- Your sessions. After a booked session, your coach records whether it happened (completed, missed or cancelled) and can add what you worked on and what to practice next. You see those notes in your app; the record stays with your bookings.
- Your weekly check-in and change requests. Your check-in includes a summary of your week worked out from your plan and logs (workouts done, miles, effort, pain days), plus your energy, recovery and motivation scores and anything you tell your coach. When you ask for a change to your plan, your coach sees the reason and your message and replies. You can withdraw a request your coach hasn't answered yet.
- Planning help from AI tools. Your coach writes your plan. Sometimes they may ask a general AI chat assistant (like ChatGPT or Claude) for a second pair of eyes on it. When they do, they copy in your first name, an age range, your training plan, the training details from your client profile (goals, schedule, current training, injuries or limits) and, if you share your athlete model, Southbound's summary of your recent training (how much you've done, how you're responding, readiness and race fitness; pain or sickness only as a yes with the date, never your words) — never your email, phone number, birth year, last name, emergency contact or health check. Southbound itself doesn't send anything to an AI service. Each week your coach plans this way is kept as a record that only your coach can see: what Southbound knew that week, the changes that were suggested and which ones your coach used, so they can look back on how your plans worked. If you'd rather your coach didn't use an AI assistant for your plan, say so through the Contact page.
- Messages. Messages between you and your coach in the app are kept so you both have the conversation. Only the two of you can read them. Each side can see when the other has read a message, and you can take back a message the other person hasn't read yet.
- When you last opened the app. The app notes the time you last opened it (at most every few hours) so your coach can tell whether you've seen their updates. Nothing else about your device or location is recorded.
- Your coach's own notes. Like any coach, yours may keep short private notes about your training (how a session went, things to remember). Those are visible only to your coach. Updates your coach sends you are shown in your app under From Your Coach. To see or remove notes kept about you, ask through the Contact page.
- Nobody else. Your information is never sold, rented or used for advertising. There are no ad trackers on this site.
Emails
The app sends a few emails: a short "your coach replied" note when a session request or check-in is answered or your coach sends you an update or a message, and alerts to the coach when you apply, book, check in, send a message or flag pain on a workout. When several messages are sent in a row, only the first one sends an email. These are sent with EmailJS. There is no mailing list and no marketing email.
Exercise videos
Some "How to" videos of exercises are licensed from MuscleWiki and stream from their servers while you watch; they aren't saved on your device or ours. To find a video, our server sends MuscleWiki only the exercise's name, never anything about you. Your choice of a male or female demonstrator stays on your device. Exercise data and videos provided by MuscleWiki.com.
Southbound Playbook (free coaching tools)
The Playbook (tactical board, drills, practice planner and roster) needs no account. Without one, everything you make, including any roster of first names and numbers, is saved only in your own browser on your own device and is never uploaded. If you sign in, the same work is also saved to your own private Southbound account so it follows you to your other devices. Only you can open it, and it is never shared or used for anything else. Use first names only, back up from each tool if you want a copy, and clear it any time from the Playbook page (signed in, that clears your account's copy too). Parent names and phone numbers you add on the Team tab stay on your device only and are never uploaded, even when you are signed in. Signing out removes the Playbook from that device.
75-day tracker (free tool)
The 75-day tracker needs no account. Without one, your list and ticks are saved only in your own browser on your own device and are never uploaded. If you sign in, the same list is also saved in your private account so it follows you to other devices. Nobody else can read it. The share picture and the reminder file are made on your device.
When you press Share on a board or practice plan, the plan is packed into the link itself. It is not sent to or stored on a Southbound server, so anyone with the link can open it, and no one else can. Player names are left out of shared boards. The team link on the Game tab is different: it shows players' first names and the lineup, so the coach is asked to confirm before getting it. It never includes attendance, make-up runs or contact details. Treat a link like a printed page: share it only with people you want to have it.
Young athletes
Soccer training is open to young players, but accounts and questions for anyone under 13 should come from a parent or guardian.
Deleting your information
You can ask for your account and everything in it to be deleted at any time. Send a request through the Contact page and it will be taken care of. You can also clear the copy on your device by signing out and removing the app.
